The Workshop inspection management system:-

  • The workshop inspection management system creates a workflow allowing the flexibility to create, complete and send completed jobs to the vehicle or asset on the Truckfile core system. It can also be used to scan paper based inspections, MOT's or any other legal documentation to the individual vehicles or assets file on the core system.

  • It will enable the creation and management of inspection jobs.
  • Automatically pull down inspection jobs that are required from the Truckfile core.
  • Get Inspection jobs from certain Dealer Management Systems
  • Allow the information to be entered from paper based systems.
  • Scan in inspection sheets for a vehicle or asset
  • Scan any legal documents to the Truckfile core
  • Scan any additional documents required by the operator

The workshop inspection management system can seamlessly control all data and document activity.
  • Show all the inspection details for each inspection job - and show the signatures of the completing technician.
  • Allow a non-serviceable to be rectified - recording the action talen and by whom. Rectification can be a repair, or an outcome such as informing the operator.
  • The inspection cannot be signed off as completed until all non serviceable items are have an action to rectify them. A sheet of all non-serviceable items and rectifications can be printed for each inspection. The check is completed by the Manager or Supervisor signing the "I certify that the inspection has been completed, the defects listed (have/have not) been rectified and in my opinion the vehicle (is/is not) in road worthy condition". The signature is attached to the inspection and digitally stored on Truckfile.


  • THE SOFTWARE WILL
  • Allow entry only by an authorised login and password
  • Allow inspections to be created - with information being automatically filled by vehicle registration or asset number
  • Upload an inspection to the Digital Interface Application (PDA) - and recover the completed job by the manager or supervisor.
  • Create a scanning job by creating a job line for the chosen Truck or asset - with all the header details to ensure the scan is correctly attached to the relevant Truckfile.
  • Allocate technicians to complete inspection - both for the TM / Tyre check and the Road / brake test ensuring that the road / brake test can only be allocated to a technician with a HGV licence.
