First of all the Publishers would like to
apologies for the delay in releasing this (our first) EIS Newsletter. However,
we hope that the information included will have been well worth the wait!
Introduction
The past few months have been very busy
in the EIS office; there have been new versions, updates and changes to how we
support the Dealer Network and their customers. We sincerely hope that both the software and support has been
of the highest standard especially since the upheaval of last year. Having said
all that we are ever striving to keep you up to date with information and developments
hence the introduction of our new, regular, E-Newsletters.
‘Magic’ Time for the EIS System
For those who are new to the EIS system or
are still unaware of the recent history of Electronic Inspections, and more
especially the Truckfile Product, here is a brief overview (we promise not to
make it to long).
‘Magic Internet Technologies’ are based in
South Wales with more numbers of years
experience in the IT and Motor Industry than some care to remember. We are not
new to Truckfile, in fact the staff that wrote and supported the software from
three years ago are the same staff that are now creating the updates and
supporting the system today.
We hope we have maintained and, hopefully,
improved the level of service to the Network. However, we realise that there is always room for improvement so if you have any
suggestions, questions (or dare we mention) complaints about the EIS system

Operators… EIS needs you!
We would like to ensure all your customers
are using the system and gaining the undoubted benefit of access to their
documents on-line. If you have any suggestions about how we can encourage use
of the system by the operators we want to hear from you.
In order to give your customers a head
start we will give them the first three months access free of charge. Should
any of your customers be interested in EIS and require more information then
let us have their details and we will get in touch with them and get back to
you with the outcome.
Updates… Or “What’s new” in EIS
Just to clear up any confusion over Version
1.1, especially the Core application. You should now be accessing the Core via
the web page www.truckfile.co.uk. If
you wish, the Truckfile website can be added to Favorites and sent to your
desktop as a short cut. Click “remember me” and this will store your email for
future use.

Enter your designated email address and
password click on the Login Button and you will be greeted by the following
screen:

If
this is not the screen you see or you are unable to access it, please contact
our helpdesk immediately!
Providing
you are accessing this version of Core you will see a marked difference in the
schedule screen. Replacing the Red, Green and Yellow squares for the Schedule
items we now have designated icons:
For Example the MOT icon: 
NOTE: On the subject of Schedules, in order
to keep the integrity of the system it is important that, wherever possible,
the schedules should be complete and the workshop Schedule screen should be
used to create vehicles awaiting inspections.
Other Bits
Reports: There
are five new reports you may not be aware of:
1. Mileage Less
than Previously Recorded.
2. Last Tachograph Date
Different to Previously Recorded.
3. Final Sign Off same as
Technician Sign Off.
The above
reports are designed to increase accuracy and instil greater controls when
completing inspections; it is of paramount importance that the reports are
regularly checked by management to ensure accurate data is being recorded on
the inspection sheet. They are designed to help build
confidence between your workshop and the customer, so please use them! HOT OFF THE PRESS: Two
new reports have been added in the last week

Dismissed Work.

Revision History Log (also available to Operators)
The dismissed work now reports on the “incomplete” work section, this is
where inspections have been carried out but created with the “new” button
within the workshop therefore not matching to scheduled work. In order
to keep the Overdue report up to date inspections that remain incomplete, but
have been carried out, need to be dismissed. When dismissing inspections the
system will ask for a reason i.e. “inspection completed on the 1/1/09” the new
report gives a full audit trail of these dismissed inspections. The Revision
History Log lists all the specific amendments added to inspection sheets after
sign off.
Escalation (Email Reminders)
This is now fully operational and allows
emails to be sent to operators to remind them when inspections are to be
carried out, completed and overdue. Please contact our Helpdesk if you should
require further information on how to set this up.
Shortcuts
For those having trouble with the Dell
Hardware, and wish to order replacement docking stations and cables etc we have
added a shortcut to the Truckfile website:
www.truckfile.co.uk/software/Portable.htm.
This will give you a link to the Dell accessory list for all the relevant EIS
hardware.
On-Line Manual
Those of you who have ventured in to look
at the on line manual may have noticed that some of the content is slightly out
of date; we will be putting this right in the next couple of weeks!
